Application Process & Qualification Standards

Thank you for your interest in renting one of our homes! Below is a detailed explanation of our application process as well as our standards for qualification.

RENTER’S REQUIREMENTS

General Guidelines

  • Application Process: All adults aged 18 or older must apply separately via RentRedi.com platform for approval.
  • Lease Requirements: All adults aged 18 or older will be responsible for signing the lease.  All occupants, including those under 18, must be listed on the lease.  Anyone not listed on the lease will be considered a guest. 
  • Guest Policy: Guests are allowed for a maximum of 10 days per quarter.
  • Occupancy Limits: Adherence to Federal occupancy guidelines, allowing no more than 2 persons per bedroom.
  • Smoking: Smoking, including for medical purposes, is not allowed inside any unit.  

Renter Qualification Requirements

  • Income Requirement: Household net income must exceed three times the rent.  All income stated in the application must be verifiable.  Unverifiable income will not be considered.
  • Credit History: A minimum credit score of 650 is required for all applicants.  Applicants without a 2-year established credit history must provide a  guarantor.
  • Employment Verification: All applicants must have their employment verified through an Employment Verification Form provided by their employer or supervisor. At least 2 years of continuous employment (paystubs for 3 months & W2) or business income (1099 form or Schedule C or 1120 Tax Return) is required.
  • Credit Score Minimum: A minimum credit score of 650 is required for all applicants.
  • References: Positive references from previous landlords for the past 5 years.
  • Evictions: No evictions or unpaid judgements from previous landlords.
  • Background Check: A background and credit check will be conducted for all renters over 18 years old.  Applicant’s backgrounds must exhibit a pattern of responsibility. 
  • Compensating Factors: At the landlord’s discretion, an additional security deposit or a guarantor may be required if any standard is not met.
  • Identification: Current photo ID and a valid social security number.
  • Application Fee: Applications and background checks are handled via RentRedi.com. Applicants are responsible for the fees charged by RentRedi.com, which are currently $39.99 per applicant.

Financial and Renter’s Insurance

  • Rent Payments: Full rent including any additional fees are due by 11:59 PM on the 1st of each month via apartments.com. Late payments incur a $50.00 fee per incident.
  • Initial Payment Requirements: The first full month’s rent and the security deposit must be paid at least 5 days before the move-in date.
  • Pro-rated Rent for Mid-Month Move-Ins: If the move-in date is not the 1st of the month, prorated rent for the remainder of the first month plus the entire second month’s rent and associated fees are required before move-in.
  • Security Deposit: Equivalent to minimum of two month’s rent, due prior to move-in alongside the rent payment.
  • Insurance Requirements: Renters must carry rental insurance with a minimum of $200,000 liability and $50,000 for personal property. Proof of insurance is required before move-in and must remain active throughout the lease term.

Pet Policy

  • General: Pets are generally not allowed unless explicitly approved by the landlord and a Pet Addendum is signed.
  • Fines: A fine of $300.00 will be imposed immediately for any pet rule violations.
  • Specific Allowances, if approved:
    • A maximum of 2 pets for units with 2+ bedrooms; 1 pet for studios and 1-bedroom units.
    • Only dogs and cats are allowed. Dogs must weigh no more than 40 lbs.
    • All pets must be vaccinated with documentation provided annually, along with a copy of the local pet license.
    • One-time pet fees: $300 for one pet, $500 for two pets.
    • Monthly pet rent: $20 for pets under 25 lbs, $25 for dogs between 25 and 40 lbs.
    • Prohibited breeds: German Shepherds, Pit Bulls, Cane Corso, Rottweilers, Staffordshire Terriers, Akitas, Mastiffs, Great Danes, Doberman Pinschers. Untrained dogs are not allowed.

APPLICATION PROCESS & QUALIFICATION STANDARDS

Application

  • Each person over the age of 18 who will be living in the home must complete and submit a separate application and processing fee. All individuals must meet the minimum standards for qualification. Expect 1-3 business days for processing.
  • Processing includes contact with employers, current and previous landlords, references, law enforcement agencies, government agencies, consumer reporting agencies, and public records. A consumer report will be used for all applications.

Deposit to Hold

  • After approval, a non-refundable Deposit to Hold equal to one month’s rent is required within 24 hours to hold the property. The rental will be held for a maximum of 14 days. If the deposit is not received within 24 hours, the property will be offered to the next qualified applicant.
  • If the deposit is paid with the application and the applicant fails to qualify, the deposit will be refunded within 14 days.

Move-in Requirements

  • At lease 3 days before occupancy, the prospective tenant must provide all required move-in funds, transfer all tenant-paid utilities into their name, and execute the lease.
  • Rent is due on the 1st of the month. For move-ins on dates other than the 1st, prorated rent for the first month and the full rent for the second month are due before move-in.

Rental Insurance Requirement

  • Renters must obtain and maintain a renter’s insurance policy throughout the rental period and present proof of insurance. The policy must include the landlord as an interested party.

Rental Tour Standard

  • To schedule a rental tour, we require a completed pre-qualification form.  Tours are only scheduled for applicants whose pre-qualification is approve.  Please note that this pre-qualification form is a preliminary step to confirm you meet our basic criteria.  It is different from our rental application and does not guarantee rental approval even if pre-qualification is granted.  The pre-qualification process doe not verify the information provide, but it is essential for arranging a tour.  
  • There is no fee for the pre-qualification form.  
  • Tours Tours are usually conducted as open houses or by appointment, typically scheduled for 2 hours on a Saturday or Sunday. Private tours are limited to Friday and Saturday for multi-unit apartments.

Lease Start Date and Move-in Time Standards

  • Keys must be picked up between 8:00 AM and 9:00 AM on the lease start date, with a walk-through and move-in checklist sign-off.

SUMMARY OF TENANT RULES AND REGULATIONS

General Obligations

  • Occupancy: Only individuals listed on the lease may occupy the home. Notify the landlord/manager if any additional person stays longer than 10 days. Occupancy is limited to a maximum of 2 persons per bedroom.
  • Contact Information: Keep the landlord/manager informed of current phone numbers, emails, and emergency contacts.
  • Smoking: No smoking inside the home or within 25 feet of the building. Tenants are responsible for any smoke-related damage.
  • Noise: Keep noise levels to a minimum, especially between 10 PM and 8 AM.

Property Maintenance and Use

  • Decks/Balconies/Patios: Keep these areas clear of clutter. Only barbecues, lawn furniture, and plants are permitted.
  • Window Coverings: Use only proper window coverings. Damaged blinds must be replaced within 24 hours.
  • Walkways: Keep all walkways and stairs clear and free of debris.
  • Housekeeping: Maintain a clean and sanitary home. Routine housekeeping is required.
  • Cooking: Only cook in the kitchen or use a barbecue outside. Do not pour grease down toilets, sinks, or drains.
  • Safety Devices: The landlord will ensure that all Smoke and Carbon Monoxide Detectors are functional at move-in. Thereafter, maintaining and replacing batteries is the renter’s responsibility.
  • Light Maintenance: Renters are responsible for keeping all light bulbs in working condition.

Specific Policies

  • Satellite Dishes/Antennas: Installation is not permitted on the building. Free-standing dishes require written approval.
  • Trash/Garbage Receptacles: Dispose of trash properly in tied plastic bags. Keep the receptacle area clean and lids closed.
  • Lockout/Lost Key: Lockout services are available for a fee. Do not change locks without landlord/manager approval.
  • Laundry Facilities: Use laundry facilities only between 9 AM and 8 PM.
  • Animals: No animals allowed unless explicitly authorized in writing.
  • Vehicle Maintenance: No vehicle washing or repair on the premises.

Safety and Legal

  • Weapons: No deadly weapons are allowed on the property.
  • Explosive Substances: Do not bring or store any explosive substances.
  • Intoxicating Substances: No use of the premises for disorderly or illegal activities.
  • Local Ordinances and Codes: Abide by all local laws and codes.

Additional Guidelines

  • Utilities: Tenants must transfer utilities into their names before move-in to avoid fines.
  • Key Policy: Fees apply for key replacement and lockout services.
  • Carpets: Carpets must be professionally cleaned at tenant’s expense upon vacating. Contact the landlord/manager for professional cleaning during tenancy.
  • Inspections: Routine inspections will be conducted every six months with proper notice according to State Laws.
